Understanding our reimbursement policy and process

If your Landlord is responsible for a repair or service, you can arrange the service or purchase it and then seek reimbursement. Preauthorization is necessary. This option is beneficial for urgent needs, like same-day services or minor repairs where it may take us a couple of days to complete.

Landlord Cart Properties, LLC values your relationship and aims for top-tier resident experiences. We provide property owners with pricing expertise gained over nearly 20 years, covering common services and repairs. To streamline expenses, please seek preauthorization before engaging contractors or ordering parts. We’ll approve reasonable costs or provide cost-effective solutions. It is not required that you find the lowest price, it however must be typical, standard and reasonable for the expense and the same quality/service as the item or service being replaced.

What’s Not Included

Please be aware that Landlord Cart Properties, LLC is not liable for expenses without preauthorization. Retroactive reimbursement might be possible for prior purchases, but this entails risk, as unforeseen or unauthorized costs may not be approved. We also do not cover premium services exceeding what we would have paid or arranged ourselves. For instance, if standard pest control costs $100, but you paid $200, we may only reimburse $100.


What We Cover

Tenants might be reimbursed for various items or expenses depending on the terms of their lease agreement and the policies of the property management company. Some common items that tenants might seek reimbursement for include:


  • Minor Repairs: Small repairs to the property that were necessary due to normal wear and tear, such as fixing a leaky faucet or a broken window.
  • Maintenance Costs: Costs incurred for regular maintenance, like lawn care, snow removal, or HVAC system servicing.
  • Emergency Repairs: Expenses related to urgent repairs that were necessary to ensure the habitability of the property, such as a burst pipe or a malfunctioning heating system.
  • Authorized Improvements: Reimbursement for improvements or upgrades to the property that were pre-approved by the property management, such as painting a room or installing new fixtures.
  • Appliance Repairs: Repairs to appliances provided by the landlord, like a refrigerator or dishwasher, if the damage was not caused by the tenant’s misuse.
  • Cleaning Costs: If the lease requires the property to be returned in a clean condition, the tenant might seek reimbursement for professional cleaning expenses.

How to Submit a Claim

In your Tenant Portal, create a new Message for us and provide the following details:
1) Describe the items or service that you would like an authorization for
2) List their approximate amount you are requesting
3) List the name of the provider or the store you plan to purchase from

We will evaluate your claim within 24-48 hours and reply with a decision to proceed or offer to handle the repair or perform the service for you at our cost, if your cost is not typical or reasonable. We’ll review your claim within 24-48 hours and respond with a decision. If your cost is atypical or unreasonable, we may handle the repair or service ourselves at our expense. Reimbursement, including taxes, will be provided via a check from the property management company directly to you. Please continue paying your full rent as per your lease agreement. You must receive and SAVE All Receipts – We will ask for a copy of the receipt before any payment is made.



Important Disclosure

In property management, things occasionally do happen; it’s one of those unique elements of life. As a Tenant, you are responsible for making sure you have the appropriate levels of insurance, referred to as Renters Insurance, to protect your personal property from perils.
In most cases, the landlord and/or Property Management company is not responsible for the tenant’s loss unless the landlord or its assignees are negligent.
For example, If the property comes with a refrigerator and it breaks then the owner is responsible for repairing it in a reasonable time but not for replacing the tenant’s lost food. This policy is designed to show our commitment to excellence more than any legal requirement to do so. As such, we will only approve or credit you at our sole discretion based on full, complete, and timely information and as supported by verifiable receipts. If any information is incomplete or without the supporting evidence, your request will be denied.
